Many departments, teams, and committees across campus may have a need to share secure information, such as login credentials, software license information, or even sensitive documents. It can be tricky to know how best to share this information easily and securely. Now that campus has access to 1Password for Business, groups of associates can create a secure vault to store and share this information.
Here are examples of things that you can store in 1Password:
- Vendor contact information
- Software license keys
- Official CUNE social media account credentials
- Apple ID credentials for a shared iPad
- Reward Programs
- FOAPAL information
- Tax Exempt documents
A Vault of One
Some roles require outside credentials that don't belong in an associate's Employee vault. It is appropriate to create a shared vault with a single member to support these roles.

Items to consider when creating a vault
- What is an appropriate name for the vault?
- Who is the vault's owner and backup owner?

Does everyone need the same access to items in the vault?
- Owners have access to do everything.
- Others may only need to view and copy passwords.
- Access cannot vary based on the item, only the person.
What does it look like?
Once created, the shared vault appears in each person's 1Password account next to their Employee and Organization-wide Credential vaults.
Other Notes
- Depending on the access requested/granted by the vault owner(s), items in shared vaults may not have the same options as those in the Employee vault.
- Tags applied to shared vaults will appear to everyone with access to the vault.
- Items marked as a favorite by one person will mark it as a favorite for everyone with access to the vault.

Vault Owners are responsible for good cybersecurity hygiene for their vault items, including:
- Monitoring existing access to the vault(s).
- Requesting access changes as needed.
- Ensuring that shared passwords are reset following staff turnover or changes in membership.
- Auditing access history to verify items are being used appropriately.
Item Organization
While item subfolders aren't built in to 1Password, placing a forward slash ( / ) in a Tag can create a subfolder structure:
